Terms and Conditions

VIP Destination Management, a division of VIP Tours of Orlando, Inc. (VIP), rates/costs as set out in our proposals are net, non-commissionable, and include our standard handling fees, to ensure you the highest standard of professional service.

Additional handling fee/s can be levied should the following occur:

1. Information and research is requested by our clients who choose to seek our advice and work direct with suppliers.
2. Excessive changes are made during the confirmation and planning stages and extraordinary time (labor) and communications render the account unsustainable.

Our Costs Include:

• Items as specifically detailed in the proposal/itinerary
• Research, reservations, re-confirmation of all arrangements featured in the proposal

Costs Do Not Include:

• Domestic or International Airfares.
• Meals and drinks other than those stated.
• Driver/guide tips, unless other wise indicated.
• Items not specifically mentioned and items of a personal nature.
• Tour guide accommodations, unless other wise indicated.

Site Inspections/Check Out trips:

VIP charges are negotiated on a per group basis with group size and services taken into consideration. Set price to preparation, implementation, and management of site inspection. This includes on-site project manager to accompany the site. Complimentary or discounted services are negotiated where possible with suppliers. All costs incurred on the site inspection will be invoiced to you on departure or shortly thereafter. Generally meals and transportation are not complimentary. Discounted airfare for our staff may be invoiced for the site inspection where necessary.

VIP Destination Management Payment Policy:

• Deposit of 25% of estimated total billing is required to confirm the booking.
• In some cases suppliers may require full pre-payment of services before confirmation is given.
• Payment schedule incorporating the terms and conditions of our suppliers as indicated below:
  • Sept. 17, 2008: 25% of total Billing: est. __________
  • Dec. 01, 2008: additional 25%: est. (Based on Supplier Deposit requirements)
  • Feb. 10, 2009: additional 25%: est. (Based on Supplier Deposit requirements)
  • Apr. 01, 2009: remainder of Balance: est. $ TBD
• Where payment is made to VIP by telegraphic transfer, bank charges incurred in this transaction will be the responsibility of the client. Currently bank charges are $30.00 per telegraphic transaction. VIP will include these charges in the final billing.
• If cancellation occurs, on any events or services, BOOKING AGENT will be responsible for all cancellation penalties incurred by VIP from the various vendors on behalf of this program as well as a service fee to VIP not to exceed 15% of the entire program cost. Any changes to this program must be done in writing.
• After arrival no refunds are due.

Additional Billing

On site additional billing items procedures:

• Items listed on ÒAdditional Billing ScheduleÓ as requested
• Your on-site trip director must approve each item requested, or the person/s with your authority and/who is responsible for billing approval. The services will then be organised by VIP.
Invoice for all additional billing items will be presented on departure day or shortly thereafter. Management fees of 10-15% may apply for these extra on-site requests.
• Payment of additional billing invoice will be due within 30 days.

Travel Insurance

A travel insurance policy purchased in the country of origin covering loss of deposit, airfares, accommodation charges, medical expenses, loss or damage to personal property and repatriation expenses is strongly recommended. The insurance should cover loss arising from the passengerÕs inability to travel due to any reason whatsoever. VIP accepts no responsibility for any loss, damages or expenses incurred by a person travelling.

Disclaimer

In the event of any service(s) becoming unavailable for any reason, VIP Destination Management will make every effort to supply alternative services of an equal standard and value but cannot accept any responsibility for failure to provide the specified services.

Please note:

• All costs are net non commissionable in USD
• If this is a quote only, No services have been booked and price valid for only 14 days.
• Our costs are based on 35 paying passengers travelling together as stated on itinerary
• Land only arrangement Ð ex. our costs do not include any air transportation
• All services are currently on a tentative hold and will be turned definite upon receipt of deposit.
• This quote includes all currently known US Government charges and taxes, however should any State or Federal Governments implement additional taxes, VIP Destination Management reserve the right to pass on these costs accordingly.
